The Sender ID visibility feature ensures users only see the Sender IDs assigned to them - helping prevent messages from being sent from the wrong number. This can be configured by the HubSpot Admin.
Note: If you connected your HubSpot account before 28 July 2025, you'll need to reconnect the integration for this feature to work correctly.
Sender ID visibility
To set up HubSpot team-based access control:
- In HubSpot, navigate to Settings (⚙️) in the top right-corner.
- From the left-side navigation, click on Users & Teams.

Click on the Teams tab and click the Create Team button.

Create a Team and configure the Team Name using the format SMMID_{{gatewayID}}.
You can find the gatewayID from your Sinch MessageMedia account settings page.
e.g. Team Name: SMMID_ABCCompanyMelbourne_XYZ_0001

Add the desired users to the team that will be located in that specific location.
e.g. Joe is a sales rep under the Melbourne location
- Click the Save button.

When sending a Sinch SMS, MMS, WhatsApp or RCS message, users included in this team will only have visibility of the Account and Sender IDs associated with that account Sinch account in HubSpot.
e.g. Joe will only see Melbourne in the account drop-down and the Sender IDs under that account.
Sender ID considerations
- If there are no matching team names in the format SMMID_{{gatewayId}} that exist in the HubSpot account:
- All users will have access to all accounts by default.
- If there are matching team names in the format SMMID_{{gatewayId}} that exist in the HubSpot account, but no users are assigned to them:
- By default, no users are granted access to accounts.
- Once a team is added using the format and desired users are added, the users will have access to specific accounts.
- Deleting all matching team names will allow all users to have access to all accounts by default.
- If there are matching team names in the format SMMID_{{gatewayId}} exist and users are assigned to at least one of them:
- Users will have access to the specific account.
