You can assign a default "From" number for all users or assign specific "From" numbers to certain users in Zoho CRM.
Assign a default "From" number for all users
You can set a default “From” number in Zoho CRM, so all users can send messages from the same number. To do this:
- In the Zoho CRM, from the left-side navigation menu, click on the Marketplace module.
- Click on the Installed tab.
- Locate Sinch SMS for Zoho and click on Configure.
- Make sure you're in the Messaging tab.
- Click on the From numbers tab.
- Locate the "From" number you want to make default.
Click on the star icon on the right-side to make that number the default.
Note: You'll need to toggle on the option for Allow everyone to use the same phone number for the star icon to appear (underneath the numbers).
- Click the Save button.
Assign specific "From" numbers to certain users
You can change who has access to specific "From" numbers. Assigning a number to one user or team is helpful if you have multiple numbers and want to create a consistent point of contact for a department e.g. customer support, accounts. To dot this:
- In the Zoho CRM, from the left-side navigation menu, click on the Marketplace module.
- Click on the Installed tab.
- Locate Sinch SMS for Zoho and click on Configure.
- Make sure you're in the Messaging tab.
- Click on the From numbers tab.
- Locate the "From" number you want to assign.
- Click on the pencil icon on the right-side to edit that number.
From the Assign to a team or single user? drop-down field, select an appropriate option:
- Available to everyone: All users can send an SMS from this number and is the default option.
- Available to a team: Allocate a number to a specific team of users e.g. your accounts department if you want to send invoice reminders to your customers.
- Available to a single user: Only one user can use this number.
If you select to assign to a team or a single user, a new drop-down field will appear for you to Select a team or Select a user.
- Click the Save button.
Note: Make sure the Enable this number toggle is on to allow users to use the number.
Assign a "From" number based on specific fields in a record
As an advanced option, you can set criteria to automatically choose a "From" number based on CRM record data. Click on the ? help icon for more information.
